Soulwire Studio (“Soulwire Studio,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect through soulwirestudio.com (the “Site”), how we use and share it, and the choices available to you. It applies to visitors, prospective clients, and clients who interact with the Site, our forms, and our free tools.

This Policy does not apply to information you share with us directly through a separate, signed Service Agreement for paid work — that engagement may include its own confidentiality and data-handling terms.

Information you provide to us

• Contact & project inquiries — when you submit our contact form, we collect the details you choose to share (such as your name, email address, company, and project description) through our form provider, ClickUp.
• Free tools (website audit, AI automation audit, newsletter generator) — we collect the website URL you submit, your email address, your selected output type, and the verification code used to confirm your email.
• Direct email — anything you send us at hello@soulwirestudio.com.

Information collected automatically

• Usage & log data — like most websites, our hosting and infrastructure providers automatically log standard technical data such as IP address, general request metadata, and timestamps, primarily for security, abuse prevention (for example, rate-limiting repeated submissions), and troubleshooting.
• Cookies — the Site does not currently use advertising or third-party analytics cookies. If that changes, we will update this Policy and, where required, request your consent.

2. How We Use Your Information

We use the information described above to:

• Respond to inquiries and provide the free tools and content you request;
• Generate the audit, report, or newsletter output you asked for;
• Verify your email address and prevent spam or abuse of our forms and tools;
• Follow up about your inquiry or the deliverable you requested, and, where permitted, tell you about relevant services;
• Maintain, secure, and improve the Site and our Services; and
• Comply with legal obligations and enforce our Terms & Conditions.

3. Who We Share Information With

We do not sell your personal information. We share information only as needed with service providers who help us operate the Site and deliver the Services you request, including:

• ClickUp — to receive and manage contact-form submissions and leads as part of our project intake process;
• Resend — to deliver transactional emails, such as verification codes and your requested audit or report;
• Firecrawl — to retrieve and analyze the public content of a website URL you submit, in order to generate your requested audit or report;
• Anthropic (Claude) — to generate the AI-written content of your audit, report, or newsletter output based on the information you submit;
• Vercel & Upstash — for website hosting, temporary secure data storage, and rate-limiting infrastructure; and
• professional advisors (such as accountants or attorneys) and successors in the event of a business transaction (such as a merger or acquisition), subject to confidentiality obligations.

We may also disclose information if required by law, legal process, or to protect the rights, property, or safety of Soulwire Studio, our users, or others.

4. Data Retention

Submissions to our free tools (website URL, email, verification code, and generated result) are stored temporarily and automatically deleted after 24 hours. Contact-form leads and related project details are retained in our CRM (ClickUp) for as long as reasonably necessary to manage our relationship with you, or until you ask us to delete them. We retain other information only as long as needed for the purposes described in this Policy, or as required by law.

5. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect your information, including encrypted connections (HTTPS), short data retention windows for free-tool submissions, and access limited to what our service providers need to perform their function. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

6. Your Rights & Choices

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of the personal information we hold about you, or to object to or restrict certain processing (for example, under the GDPR, UK GDPR, or U.S. state privacy laws such as the CCPA/CPRA). To exercise any of these rights, contact us at hello@soulwirestudio.com, and we will respond within a reasonable time and in accordance with applicable law. You may also unsubscribe from any marketing email using the link provided in that email.

7. Children’s Privacy

The Site and Services are intended for businesses and individuals over the age of 18 and are not directed to children. We do not knowingly collect personal information from children under 13 (or the relevant age of digital consent in your jurisdiction). If you believe a child has provided us with personal information, please contact us so we can delete it.

8. International Visitors

We are based in the United States, and information we collect may be processed and stored in the United States or other countries where our service providers operate. By using the Site, you understand that your information may be transferred to and processed in countries with data-protection laws that may differ from those of your home country.
